Privacy Policy

This policy covers the Tournament Tool app and web Player Portal ("the app"), used to run and play in Pokémon VGC/TCG/GO tournaments at The Jefferson Gym.

What we collect

Account info: your name, Play! Pokemon ID, birth year or birthdate (used only to determine your age division), and email address.
Login: a PIN you set yourself, stored as a one-way hash — we never store or can see your actual PIN.
Tournament data: your registrations, match results, standings, and any team/deck list you submit for a tournament that requires one.
Device info: a push notification token, if you allow notifications, so we can alert you when a new round starts or pairings post. No location, contacts, photos, or browsing data are collected.

How we use it

Solely to run tournaments: pairing players, tracking match results and standings, letting judges review submitted team/deck lists, and notifying you about your matches. We don't sell your data, show you ads, or share it with anyone outside of running the events you register for.

Third-party services

The team-builder screens look up Pokémon species/move/item names from the public PokéAPI and card data from the Pokémon TCG API — neither receives any of your personal information, just search terms you type. Push notifications are delivered via Expo's push notification service.

Deleting your account

You can delete your account at any time from the app's Settings screen, or from the web Player Portal's dashboard ("Delete My Account"). This removes your name, email, birthdate, login PIN, saved lists, and notification devices immediately. Match results and standings from tournaments you've already played in stay on record under an anonymized name — organizers need to keep those for the events that have already happened, the same way a physical tournament's paper standings would.
